2. WHOSE INFORMATION DO WE COLLECT?
We process information about:
- “Prospects” – contacts working at or connected with potential Clients;
- “Clients” – who have bought goods or services from us, and “Client Contacts” who are individuals employed by or contracted to Clients;
- “Suppliers”, “Associates” – suppliers or potential suppliers of goods or services to us;

- “Employees” – Our employees, if we have any. Employees should refer to their contract of employment for data privacy information relating to their own data.
3. OUR POLICY
We promise respectful treatment of the personal information of everyone we have contact with. We want it to be simple and clear.
This Policy explains how we do that – when and why we collect information, how we use it, the situations when other people can see or use it, and how we keep it secure.
To be clear up front: We do not sell, rent or trade email lists with anyone else.
We’ve split this Policy into sections, depending on who you are:
- Section A is for everyone and includes information about cookies on our websites.
- Section B is for you if you are or work for a business Prospect.
- Section C is for Clients and Client Contacts.
- Section D is for you if we have information about you purely because we are providing services to a Client.
- Section E is for Suppliers, Associates, or Affiliates/Referrers.
SECTION A: FOR EVERYONE
Whoever you are, our intention is to use your information to make things work smoothly for you in your experience of dealing with us. If that’s not how it turns out for you, please contact us in writing by emailing the address provided above.
We keep this Policy under regular review and may update it periodically. Please check back from time to time for the latest version.
A.1. OUR GENERAL APPROACH TO PERSONAL DATA
We are committed to protecting your privacy and respecting your legal rights under UK GDPR and related legislation.
We collect and use personal data only when needed:
- Because you have asked us to (e.g., to send newsletters)
- To respond to queries or complaints
- To manage our business relationships
- To grow our business and fulfil our contracts
- To provide services to clients
- To calculate payments to Associates or Affiliates/Referrers
- To meet legal obligations
We aim to ensure information is accurate, up-to-date, and limited to what is necessary.
A.2. CATEGORIES OF DATA
The type of information we process depends on our relationship with you. This may include:
- Identifying and contact information: name, email address, employer, job title, business address, social media handles.
- Published or publicly shared information relevant to our interactions.
If you are a Prospect, we may collect data about your business interests. If you are a Client or Supplier, we’ll also retain interaction records, service delivery information, and financial records.
If we process data about you on behalf of someone else, please refer to Section D. Your rights may be subject to applicable legal exemptions.
A.3. DOWNLOADS, NEWSLETTERS AND SERVICES
We monitor interaction with our emails and newsletters (opens, clicks, link usage) to refine our content.
You can unsubscribe at any time using the link provided in our emails.
We use email automations to deliver requested content, product access, or onboarding support. These include how-to emails and short videos. Most automations are brief, and many people find them helpful.
We also use anonymised data to target advertising campaigns based on broad profiles of interested users.
Sales and marketing contacts may reach out if you’ve expressed interest or are likely to benefit. We do not use cold calling and prefer to build lasting, respectful relationships.
A.4. SOCIAL MEDIA
We maintain active social media profiles. Information shared with us there is governed by the respective platform’s privacy policy.
If you interact with our content (e.g., liking, following, commenting), we may retain this as part of our engagement records. Comments made publicly may be used in promotional content, including screenshots, and attributed using your visible profile name.
A.5. NO SALE OR EXCHANGE OF YOUR DATA
We do not sell or exchange your personal data for marketing or research purposes.
A.6. DATA LOCATION AND PLATFORMS
We use mainstream third-party platforms for managing our operations (e.g., email, CRM, accounts), some of which may store data outside the UK. We choose providers with appropriate data protection safeguards.
A.7. WE MAY SHARE SOME OF YOUR DATA WITH THESE PEOPLE
We use trusted outsourced support (e.g., virtual assistants, web developers, accountants). These individuals may access personal data only if needed to fulfil their tasks and are bound by confidentiality and data protection agreements.
Access to export or backup data is restricted to authorised individuals.
If you wish to know who supports us, please email us.
A.8. DATA RETENTION
Your information will be retained in line with our data retention policy (see Section 1, Table, above). Newsletter subscribers will remain on lists until they unsubscribe.
A.9. SUBJECT ACCESS REQUESTS
You have the right to request a copy of your personal data. Email us with your full name and contact details. We may request identity verification before responding.
Where we are permitted, we will provide relevant information.
A.10. YOUR RIGHTS
You have the right to:
- Know what personal data we hold
- Request rectification if inaccurate
- Request deletion (subject to legal limits)
- Withdraw consent (where consent is the lawful basis)
- Lodge a complaint with the UK Information Commissioner’s Office (ICO)
A.11. LEGAL BASIS FOR PROCESSING
We process your data under the following lawful bases:
- Consent – e.g., for newsletters (you may withdraw this at any time).
- Contractual necessity – e.g., to deliver purchased services.
- Legitimate interest – e.g., to run our business efficiently and develop client relationships.
- Legal obligation – e.g., tax and financial recordkeeping.
SECTION B: PROSPECTS
We process your data to respond to your enquiries and record interactions. This includes contact details, business interests, and data from publicly available sources like LinkedIn.
Newsletter subscriptions are based on a double opt-in process. You can unsubscribe at any time.
All individual correspondence via email or our website is retained in accordance with our retention policy.
We do not actively collect special category data unless you have made it public or provided it voluntarily.
SECTION C: CLIENTS
Once you make a purchase, we will collect contact and payment details. This includes your phone number, email, and postal address, so we can deliver our services and maintain our business relationship.
We retain service delivery records and communications to support you effectively.
C.1. THIRD PARTY DATA
You may provide us with personal data belonging to others (e.g., staff or clients). Such data is handled under strict confidentiality and processed only as necessary for service delivery.
C.2. FINANCIAL AND CREDIT CARD DETAILS
Payments are processed via secure third-party providers. We do not store full card details.
For direct transfers (e.g., BACS), we record payer name, amount, and reference number as provided by the bank.
We do not routinely perform credit checks or store credit scores.
SECTION D: THIRD PARTY INFORMATION
Where we process your data as a subcontractor to a Client, we do so under their data privacy policy. In these cases, they are the data controller.
Enquiries should be directed to them, though we will assist where appropriate.
SECTION E: SUPPLIERS, ASSOCIATES AND AFFILIATES
We retain contracts, payment details, and work history to manage our supply chain and client services.
Affiliate/Referrer data is handled per this policy. If you refer someone to us, you must do so only with their consent.
4. COMPLAINTS
If you have concerns about how we handle your data, contact us by email. If unresolved, you may contact the UK Information Commissioner’s Office (ICO): https://ico.org.uk
